The Danish Foundation for Culture and Sports Facilities use transparency in our case management and administration work. Therefore, we have this privacy policy on how we use your data. Only with your consent do we collect and use data, and it will only be used in our case handling and through knowledge sharing within the terms of The Danish Foundation for Culture and Sports Facilities’ statutory articles of association.

Consent for processing personal data

When you create an application in our application system or send an inquiry to us we receive several data bits about you. This document describes our privacy policy, which data we collect, why we do it and what we use it for. If you are under 16 years of age, we need to attain consent from your parents, your guardian or a different adult that your parents or guardian have given power of attorney to consent to us using your data.

When you make an inquiry in our case system or inquiries via email or phone, the following information about you will be saved.
– Contact information such as name, address, e-mail, phone number, company/association

The reason for collecting data

The reason we collect information on you is:

– To keep track of and make statistics about the number and type of inquiries we receive – inquiries about consultancy, knowledge, and applications to us, to optimize and use our resources as much as possible.
– To manage your relation to us and in some cases ask about your experience with our work.
– to provide support and guidance in relation to your inquiry.

We only use relevant personal data

We only use treat data about you that is relevant and sufficient for the above-mentioned purposes. The purpose is essential for which type of information about you that is relevant to us. The same applies to the extent of the personal data we use. For example, we do not use more data than those we need for the specific purpose.

We use only the necessary personal data

We collect, use and keep only the personal data, that is necessary to obtain our intended purpose. In some cases, we might have to use your personal data for a different purpose than it was first collected for. Unless you have given consent to such a new usage of your personal data, we will consider the original purpose of collecting the data and decide if it is compatible with the new purpose.
For example, we always evaluate the sources from where your personal data comes from if it is ordinary or sensitive information we need. We will also thoroughly assess if the use of your personal data for these new purposes could have a negative effect on your freedom of action.

We will always make sure to only use personal information that is necessary for each of our specific purposes. That is why it is integrated into our IT system that only the required amount of data will be collected. Automatically, storage time and the extent-usage of your inquiry will neither be too long or too large.

We check and update your personal data

We check that the personal data we treat on you are correct and not misleading. We also make sure to update your information on a regular basis. As our services are depending on your data being correct and updated, we ask you to inform us of any relevant changes in your data. You can use the contact information in the sidebar to inform us of your changes, and you can yourself change the data you wrote into our application system, for receiving our newsletter etc.

To ensure the quality of your data we have adopted internal rules and settled procedures for checking and updating your personal data.

We delete your personal data when we no longer need them in relation to the purpose that was the cause of our collecting, usage, and keeping your data.

We protect your personal data and have in-house rules on the safety of information

We have passed in-house rules on security of information which contains instructions and measures that protects your personal data from being deleted, lost, being changed, unauthorized publication and from anyone extraneous getting access of knowledge of your data.

To protect you from unauthorized persons getting access to your personal data we use solutions that automatically ensures that data will only be accessible for relevant employees. Also included in our protection is that only a limited number of people can get access to the data.

In the case of a security breach that could get you in high risk of discrimination, identity theft, financial loss, loss of reputation or any other significant disadvantage, we will notify you on the security breach as soon as possible.

Vi ensure fair and transparent treatment of your data

When we ask you to make your personal data available to us, an authority or a partner, we inform you what data we treat about you and for what purpose. You will receive information about this at the time we collect your personal data.

When we gather data on you or someone else, for example, a supplier, an authority or a partner we will inform you no more than 10 days after. We will inform you of the purpose of collecting your personal data and of the legislative framework, that gives us the right to collect it.

When we in our products and services need to process data on children we will collect consent from the parent. We make sure that the consent is given by the person who has custody of the child or another person who has gotten power of attorney to give consent to the processing of data.

If we disclose your personal data to a partner or other collaborator, we will collect your consent and inform you what your data will be used for. You can at any time object to disclosure of your personal data.

You have the right to access your personal data

At any time, you have the right to get informed on what personal data we process, where it comes from and what we use it for. You can also get information on how long we will store your data and who receives data on you.

If you make a request, we can inform you of the data we process on you. However, the access can be restricted out of concern for other person personal data, business secrets, and immaterial rights.
You have the right to receive the personal data which you have made available to us, and the data we have collected through other actors based on your consent. If we process data on you as part of contractual work, you can also request this information.

If you wish to get access to your data, make changes or object against our handling of data, we will look into the possibility of responding your inquiry as fast as possible, and no later than one month after we receive it.

You have the right to get inaccurate personal data corrected or deleted.

If you believe that the personal data about you is incorrect, you have the right to get them corrected. You must get in contact with us and inform us where the incorrection is and how we can correct it.
In some cases, we will have an obligation to delete your personal data. For example, if you pull back your consent. If you believe that your data is no longer necessary to the purpose in which we collected it, you can get them deleted.

You can also contact us if believe that your personal data is being treated in contradiction to legislation or other legal obligations.
When you make an inquiry with a request to change or delete your personal data we examine whether the conditions are met, and in such case make the changes or deletion as soon as possible.

You have the right to make objections at our treatment of your personal data.
